We're looking for an executive assistant in Japan who can support us under a temporary contract. The role is as an Academy Manager, an assistant to our senior directors, lead tutors or Academy Programme Director when they are running our Digital Marketing Management Coaching locally.
Digital's team work with some of the leading brands in the world and just as they have high expectations of us, so too do we have high expectations of our executive assistants and Academy Managers. In a couple of months we are back in Japan and we are looking for a regular partner who can help organise and run our executive events on the ground. We normally travel with teams of 2-5 from London and run management training for classes up to 15. As an Academy Manager, you're role will be to look after many aspects of the event, including:
- Logistics: Coordinate logistics and local purchasing
- Hospitality: Registering and welcoming delegates, arranging entertainments
- PA: Provide typical PA support including - email management for directors, arranging conference calls, briefing third parties, liaising with managers in London and other cities
- Events: Provide typical event support, including - room layout, feedback form collation, managing petty cash, deliveries, equipment purchasing, printing materials
- Noting: Take notes in our working sessions and turn those notes into PowerPoint and Word docs Materials and record keeping: Timekeeping for session duration, noting changes to materials, collating changes
- Translation: Some language translation may be needed in non-English speaking countries (Japanese)
You'll be energetic and enthusiastic and good with people. You'll also be familiar with the city and ideally have some experience in the advertising, media, marketing or internet industry. The role is a mix of classic PA work and more specific activities that relate to our training and development. You'll need excellent English, good typing skills advanced PowerPoint. And you'll be organising the diary and schedule of one of our directors, as well as being a contact point for our team in London and Singapore.
As an internet user you'll be excellent with email and Microsoft Office, and you'll need to be confident with PCs rather than Macs.
Working plan
As well as background administration work, about 4 days before each event your activities for this Digital Training Academy will really begin. They will run in a solid block of 7-10 days and may include weekends. On training days you'll need to be on site from 7am - before training starts - and will be working late in the evening.Working style
It's fast paced here at Digital, and your line managers will be working with you online. We create a balance over the duration of a project, but on one of our international Academies you may be working late and on weekends, and will need to be task focussed and comfortable in stressful environments.Contracts and working terms
You'll be employed from London under an international consultancy contract. Payment will be direct to you and based on documentation we will assist you with. A company email account will be set up for you here at Digital, and you will be working through our extranet using existing processes and structures. There would normally be 2-8 people working with you on your team for each Digital Training Academy.
